This policy, and the one it is not
This Privacy Policy explains how KidSLP handles information collected through our website (kidslp.com), our online forms, and our text, WhatsApp, and Facebook Messenger channels.
It is not our HIPAA Notice of Privacy Practices. Health information we hold about a child who is our patient — evaluations, session notes, treatment plans, billing records — is governed by our Notice of Privacy Practices and by federal and state health privacy law, not by this policy. If the two ever appear to conflict about protected health information, the Notice of Privacy Practices controls.
Please do not send us detailed health information through this website, by text, by WhatsApp, or by Messenger. Those channels are convenient but they are not designed for protected health information. Once you become a KidSLP family, we will give you a secure portal for anything clinical.

Information we collect
Information you give us
- Contact and inquiry information. Your name, email address, phone number, and anything you choose to write in a form field or a message to us.
- Intake information. When you contact us by text, WhatsApp, or Messenger, an automated assistant asks a short set of questions so we can route your inquiry: a child’s first name, an age range, your ZIP code, whether you are interested in in-home or online sessions, and a good time to reach you.
- Scheduling information. If you book a call, the date and time you select and any notes you add.
- Employment inquiries. If you contact us through Work With Us, the information you submit about your background and credentials.
- Anything else you send us, including email correspondence.
Information collected automatically
When you visit kidslp.com, we and our service providers automatically collect:
- IP address and approximate location derived from it
- Browser type, device type, and operating system
- Pages viewed, links clicked, time on page, and the page or search that referred you
- Cookie and similar identifiers
Information from other sources
- Referrals. If a pediatrician, school, or another family gives us your contact information so we can reach out, we receive it from them.
- Advertising and analytics platforms. Aggregated measurement data about how our ads and pages perform.
Cookies, analytics, and advertising technologies
We use the following categories of technology on kidslp.com:
Strictly necessary — makes the site work: page delivery, security, form submission. Provided by HubSpot, our website platform.
Analytics — tells us which pages families read and where they leave. Provided by HubSpot analytics and Google Analytics.
Advertising — measures our ads and can show KidSLP ads to people who visited the site. Provided by the Meta (Facebook/Instagram) Pixel and Google Ads tags.
What this means in plain terms. If you visit a page on this site, advertising and analytics companies may receive the fact that a browser visited that page, along with an online identifier such as a cookie ID or IP address. Because some of our pages describe particular conditions, we treat this seriously. We have configured these tools to measure marketing performance, not to build health profiles of individual visitors, and we do not send these companies a child’s name, a diagnosis, or anything you type into a form. We do not, however, control what these companies do with data their own technologies collect, and we cannot promise they will not draw inferences of their own.
We do not build advertising audiences from our condition pages. Visiting a page about autism, apraxia, stuttering, feeding, or any other specific condition does not put you into a KidSLP remarketing audience, and we do not target ads to people based on which condition pages they read. We use those pages to help families, not to profile them.
Some state privacy laws define “sale” and “targeted advertising” broadly enough to include this kind of advertising cookie use. We do not sell personal information for money. To the extent our advertising tags count as a “sale” or “share” or “targeted advertising” under the law of your state, you may opt out — see Your choices and rights below.
How to turn these off
- Browser settings. Most browsers let you block or delete cookies.
- Global Privacy Control. If your browser or extension sends a Global Privacy Control (GPC) signal, we treat it as a request to opt out of targeted advertising and any “sale” or “sharing” of your personal information for that browser.
- Google Analytics. Google offers a browser opt-out add-on at tools.google.com/dlpage/gaoptout.
- Meta and Google ad settings. Both companies provide ad preference controls in your account settings on their platforms.
How we use information
We use the information described above to:
- Respond to your inquiry and answer your questions
- Schedule a consultation or an evaluation
- Determine whether we can serve a family in the state where the child is located
- Operate, secure, and improve our website and our messaging channels
- Measure whether our marketing is reaching families who need us
- Send you information you asked for, and — if you opt in — occasional resources for caregivers
- Consider applicants who contact us about working at KidSLP
- Comply with law, respond to legal process, and protect our rights, our staff, and the families we serve
We do not use information collected through this website to make automated decisions that produce legal or similarly significant effects about you.
Our automated intake assistant
When you text, WhatsApp, or Message us, your first replies are handled by an automated assistant rather than a person. It collects the short set of details listed above and hands the conversation to our team. A member of our team reviews every inquiry.
- The assistant is built on Twilio’s messaging platform and uses Anthropic’s Claude model to understand and reply to your messages. Message content is processed by those providers on our behalf under contract.
- The assistant does not give clinical advice and cannot assess your child.
- If you would rather not use it, email us at info@kidslp.com instead.
- In an emergency, call 911. Our messaging channels are not monitored around the clock.
Text message terms
By sending us a text message or providing your mobile number and asking us to text you, you consent to receive text messages from KidSLP about your inquiry and your appointments. Message frequency varies. Message and data rates may apply. Reply STOP to any message to opt out and HELP for help. Consent to receive texts is not a condition of receiving services. Carriers are not liable for delayed or undelivered messages.
Who we share information with
We do not sell your personal information for money, and we do not share it with anyone for their own independent marketing.
We do share it with:
- Service providers who work for us, under contracts that limit what they may do with it — our website and CRM platform (HubSpot), our messaging platform (Twilio), our AI provider (Anthropic), our analytics and advertising platforms (Google, Meta), our email provider, and our scheduling tools.
- Professional advisors — our attorneys, accountants, and insurers, when needed.
- Legal and safety recipients — when required by law, subpoena, or court order, or when we believe disclosure is necessary to prevent harm or to protect our legal rights.
- A successor — if KidSLP is acquired, merged, or reorganized, information may transfer as part of that transaction, subject to this policy.
Once your child becomes a KidSLP patient, disclosure of their health information is governed by our Notice of Privacy Practices, not this section.
Children’s privacy
This website is written for caregivers, not for children. We do not knowingly collect personal information directly from children under 13 through this website or our messaging channels, and we do not direct our site to children.
When you tell us about your child, you are giving us that information as their parent or legal guardian. By using our forms or messaging channels you confirm that you are at least 18 and that you have the legal authority to share information about the child you are asking about.
If you believe a child has given us personal information directly, contact info@kidslp.com and we will delete it.
Your choices and rights
Depending on where you live, you may have the right to:
- Know what personal information we have collected about you and how we use it
- Access a copy of it
- Correct inaccurate information
- Delete it, subject to exceptions — including records we must keep as a healthcare provider
- Opt out of targeted advertising, and of any “sale” or “sharing” of your personal information
- Limit our use of sensitive personal information
- Appeal a decision we make about your request
- Not be discriminated against for exercising any of these rights
How to make a request. Email info@kidslp.com with the subject line “Privacy Request,” or write to us at the address above. We will ask for enough information to verify that the request is really yours. An authorized agent may make a request for you if they give us written proof of their authority.
If we deny your request, we will tell you why, and you may appeal by replying to our response. If you are still not satisfied, you may contact your state attorney general.
Important limit. These rights generally do not apply to protected health information we hold about a patient. Those rights come from HIPAA and state health privacy law instead — see our Notice of Privacy Practices.
How long we keep information
- Inquiries that do not become patients: we keep contact records for as long as needed to follow up, and then for a reasonable period for our business records.
- Website analytics and advertising data: retained according to the settings of the platforms we use, typically measured in months rather than years.
- Patient records: retained as New York law requires for a licensed speech-language pathologist — six years, and for a child, until they turn 22, whichever is longer. See our Notice of Privacy Practices.
How we protect information
We maintain administrative, technical, and physical safeguards designed to protect the information we hold, scaled to the size of our practice and the sensitivity of the data, consistent with the New York SHIELD Act. These include access controls, encryption of devices, multi-factor authentication on our core systems, vendor agreements, and staff training.
No website or electronic transmission is completely secure. We cannot guarantee the security of information you send us over the internet, by text, or by email.
Links to other sites
Our site links to other organizations — professional associations, resources for caregivers, our social media pages. We do not control those sites and this policy does not apply to them.
Changes to this policy
We may update this policy. When we do, we will change the “Last updated” date at the top. If the changes are significant, we will say so prominently on this page.
